How to get a live transcript of a Zoom call without a bot

You want to read and copy what's being said in a Zoom meeting, but captions are off, you're not the host, and a note-taking bot would be awkward. Here are your options, and the simplest way to get your own transcript.

Quick answer

You have three options: Zoom's own captions (if the host and account allow them), a note-taking bot (it joins as a visible participant and uploads the audio), or a desktop app that transcribes the Zoom audio on your own PC. The third works in every meeting, host or guest, with nothing joining the call. Call Transcriber does this on Windows and lets you copy lines while the meeting runs.

Option 1: Zoom's own captions

Zoom can show automated captions, and on some plans it can create a transcript. Whether you can use them depends on the host's and the account's settings: captions may be disabled, transcripts may only be available to the host, and saved transcripts may only arrive after the meeting. If they are available in your meetings, they are a good first choice.

Option 2: A note-taking bot

Many AI note-takers join the meeting as an extra participant and record it in the cloud. That works, but the bot appears in the participant list, some hosts remove it or don't admit it, many companies block them, and the transcript usually lives on the vendor's servers.

Option 3: Transcribe on your own PC (no bot)

A desktop transcription app transcribes the meeting audio you already hear, plus your own microphone, right on your computer. Nothing joins the meeting and the host's settings don't matter. This is what Call Transcriber does.

Set it up in three steps

  1. Download Call Transcriber for Windows and sign in with your email (free for 30 days).
  2. Join your Zoom meeting as usual, in the Zoom app or in the browser.
  3. After a few seconds the live transcript starts by itself: your voice as "Me", the meeting as "Them". In a one-to-one call, type the other person's name in the "With" box.

Copy during the meeting

  • Ctrl+Alt+T copies what the other side just said.
  • Ctrl+Alt+5 / 0 copies the last 5 / 10 lines.
  • Ctrl+Alt+A copies the whole meeting so far, for example to paste into an AI assistant for a summary.

Turn on compact mode and "Keep on top" to keep a slim transcript strip next to the Zoom window.

One more thing: consent

A transcript is a kind of recording. Tell the other participants where your local law requires it; it's good manners everywhere. See our consent guide.
