How to transcribe Microsoft Teams meetings without admin rights
You click "Start transcription" in Teams and it's greyed out, or missing. That's common: Teams transcription is controlled by your organisation and the meeting organiser. Here's why, and how to get your own transcript anyway.
Teams' built-in transcription depends on your organisation's policies and licence, and usually only the organiser or a presenter from their company can start it, so guests and external attendees often can't. To get your own transcript without asking IT, use a desktop app that transcribes the Teams audio on your PC. Call Transcriber installs without administrator rights, needs no Teams settings, works for the new Teams app and Teams in the browser, and lets you copy lines during the meeting.
Why you can't start transcription in Teams
- Your organisation turned it off. Transcription and captions are controlled by admin policies in Teams.
- You're not the organiser. In many meetings only the organiser or presenters from the organiser's company can start transcription.
- You're a guest. In another company's meeting you follow their rules, not yours.
- It's a call, not a meeting. One-to-one and group calls may not offer the same options as scheduled meetings.
The polite first step is to ask the organiser to turn it on. When that isn't possible, or you need the transcript yourself, there's another way.
Transcribe Teams on your own PC
A desktop transcription app doesn't need anything from Teams. It transcribes the meeting audio you already hear, plus your microphone, on your computer:
- Download Call Transcriber. It installs for your Windows user only, so you don't need administrator rights.
- Sign in with your email to start the 30-day free trial.
- Join the Teams meeting or call. Within a few seconds the transcript starts by itself, for the new Teams app, classic Teams or Teams in Edge or Chrome.
- Copy what was said during the meeting with one click or Ctrl+Alt+T, and find the full transcript in Call history afterwards.
Nothing joins the meeting and nothing is uploaded: speech recognition runs offline on your PC. Your words appear as "Me" and everyone else as "Them".
Check the rules first
Being able to transcribe doesn't always mean you're allowed to. Follow your company's policy on meeting notes and tools, and tell participants you're transcribing where your local law requires it. Our consent guide explains the basics.
